Who will own my data once I submit It?

Why do you need my information? 

To ensure our drivers are legally compliant with the types of vehicle they are being asked to drive and be aware of the Councils and the Individuals Road risk around any convictions and subsequent points accrued. 

What allows you to use my information?

The council has a responsibility as part of the Health & Safety Executive’s Driving At Work guidance to ensure their drivers are legally allowed to drive as part of their job.

Who will my information be shared with?

Driver licence information will be administrated from within the FLMS Team and Service operational managers. It may also be shared with legal bodies such as the Police, DVSA and Traffic Commissioner’s office if requested.

Do I have to provide this information and what will happen if I don’t?

As well as it being required as part of the terms and conditions of their contract for any persons needing to drive on behalf of the council, it is also within the council's duty of care requirements to check relevant information ensuring our drivers remain fit and legal to drive at all times. Failure to produce this information will therefore result in a driver being suspended from duties.

How long will you keep this data for and why?

The Traffic and Transport management policy clearly defines the detail around the checking of driver licences across the core and grey fleet. Driving licence information will be kept for 18 months and the mandate form is valid for three years. Updated information is vital in ensuring we comply with the law.

How will my information be stored?

On a database hosted on secure servers operated by the councils selected provider. Access to information will be restricted to authorised council officers and all communication will be encrypted. Driving Licence information is kept electronically in spreadsheet format within a secure council SharePoint site with restricted access. Any paper copies held are within the FLMS office kept in a locked cabinet, again with restricted access.  

Will this information be used to take automated decisions about me?

No

What rights do I have when it comes to my data?

You have the right under the General Data Protection Regulation to request a copy of your information and to know what it is used for and how it has been shared. This is called the right of subject access.
